Setting Up Your Practice (Steps 1-4)

This section guides you through the initial steps of setting up your practice profile within AML Complete. It covers entering your practice details, recording BOOMs (Beneficial Owners, Officers, Managers), staff, and subcontractors.

Step 1: Entering Practice Details

This is the foundation of your AML Complete profile. You need to provide comprehensive information about your practice.

  1. Navigate to the **My Practice** tab and select the **Details** page.
  2. Click the **Edit** button to begin entering or modifying information.
  3. Carefully fill in the details requested, which typically include:
    • Practice structure (e.g., Sole Trader, Partnership, Ltd Company).
    • Number of BOOMs, employed staff (including yourself), subcontractors, and clients. **Note:** These numbers determine how many records you need to create in subsequent steps.
    • Services offered by your practice.
    • How you engage with clients.
    • Your practice's AML compliance procedures and policies. (You may be asked to upload your AML policy document here).
    • Oversight of business processes.
    • Staff training protocols related to AML.
  4. Answer all questions thoroughly. Remember the yellow highlights disappear once a question is answered.
  5. Upload any requested documents (usually in PDF format).
  6. Once complete, click **Save** to store the information.

Important: Some identifying details like practice name and contact information might be pre-filled from your IAB membership record and cannot be edited here. Contact the IAB Membership team if these need updating.

Step 2: Recording BOOMs (Beneficial Owners, Officers, Managers)

After setting your practice details, you need to record the individuals who own or control your practice.

  1. Go to the **My Practice** tab and select the **Owners** page.
  2. Your details as the Primary Owner might be pre-filled. Click your practice name, then **Edit** to review and update your own BOOM record. Answer all questions accurately and save.
  3. If there are other BOOMs in your practice (as indicated by the number you entered in Step 1), click the **Add Owner** button.
  4. Complete the profile for each additional BOOM, providing all required details. Save each record.
  5. Ensure the total number of BOOM records matches the number specified in your Practice Details (Step 1).

Refer back to the Key Concepts if you need a reminder on who qualifies as a BOOM.

Step 3: Recording Staff

Next, you need to create records for all staff members whose work is relevant to AML compliance. **This includes yourself, even if you are a sole practitioner.**

  1. Navigate to the **My Practice** tab and select the **Staff** page.
  2. Your own record might be pre-populated. Click your practice name, then **Edit** to complete or update your details. Answer all questions, upload documents if required (like DBS check information), and save.
  3. If you have other relevant staff members (as indicated in Step 1), click the **Add Staff** button.
  4. Complete the profile for each staff member, providing all necessary details and answering all questions. Save each record.
  5. Ensure the total number of staff records matches the number specified in your Practice Details (Step 1).

Remember, agents or subcontractors should not be added here; they belong in Step 4.

Step 4: Recording Subcontractors

If your practice uses subcontractors or agents whose work is relevant to AML compliance, you must record their details.

  1. Go to the **My Practice** tab and select the **Subcontractors** page.
  2. If you indicated in Step 1 that you use subcontractors, click the **Add Subcontractor** button.
  3. Complete the profile for each relevant subcontractor, providing all required information. Save each record.
  4. Ensure the total number of subcontractor records matches the number specified in your Practice Details (Step 1).
