Managing Clients (Step 5)
After setting up your practice profile (Steps 1-4), the next crucial step is to record details for all your client businesses. This involves creating a profile for each client and then adding profiles for their Beneficial Owners.
Step 5: Adding Client Records
You need to create a separate record for each client business you provide services to.
- Navigate to the **My Clients** tab.
- Click the **Create Client** button to start adding a new client.
- Fill in all the required details about the client business. This typically includes:
- Client business name and contact information.
- Business structure (e.g., Sole Trader, Ltd Company, Partnership).
- Nature of the client's business activities.
- How your practice engages with this client.
- Answer all questions thoroughly, paying attention to any yellow highlights.
- Upload any requested documents related to the client (e.g., client due diligence documents).
- Once all information is entered, click **Save**.
Adding Client Beneficial Owners
After saving the main client record, you will usually be prompted or directed to add the Beneficial Owners for that client. This is a critical part of client due diligence.
- Within the newly created client's record, look for an option like **Create Owner** or **Add Owner**.
- Click this button to open the form for adding a beneficial owner.
- Complete the required details for the beneficial owner (individual's name, date of birth, nationality, etc.).
- Answer all questions and save the record.
- Repeat this process for **all** beneficial owners associated with that client business. Use the **Add Owner** button within the client's record for each additional owner.
Ensure you have identified and recorded all individuals who ultimately own or control the client business.
Importing Client Data (CSV Option)
If you have many clients, AML Complete offers an option to import client data using a CSV (Comma Separated Values) file. This can save significant time compared to manual entry.
- Navigate to the **My Clients** page.
- Look for an **Import** button.
- Before preparing your file, click the **Download Sample** button. This provides a template showing the exact format and columns required for a successful import.
- Prepare your client data in a spreadsheet program (like Excel or Google Sheets), ensuring it matches the structure and column headings of the sample file exactly. The business structure must be one of the predefined types (Sole Trader, Partnership, Ltd Company, Limited Partnership, Limited Liability Partnership, Other).
- Save your prepared data as a CSV file.
- Return to the AML Complete import section and upload your CSV file using the provided tool.
Note: While the CSV import can add client business records, you may still need to manually add the Beneficial Owners for each imported client afterwards. Check the system guidance or contact support if unsure about the specifics of the import process regarding beneficial owners.
